Executive Assistant to the CIO – Financial / Professional Services Full Time NEW

A highly regarded financial services firm is an experienced and sparky EA to come in and support the firms charming and kind CIO. Based in gorgeous offices in The City, this role is regarded as the glue that keeps the office together. You will be working closely with more junior administrator to keep the daily operations of the office and for the CIO running smoothly. The CIO is incredibly busy as his is wider team investment team. As such, we are looking for an EA that can hit the ground running and is used to working at pace. Someone with previous experience within financial or professional services is essential. This is a role that offers autonomy and a sociable working environment.

Duties include but are not limited to:

• Complex and very busy diary management and scheduling – acting as first point of cntact and gatekeeper
• Preparing the CIO for all of his meetings; assisting with research, preparing packs, agendas etc.
• Inbox management in addition to assisting with all other correspondence; both external and internal
• Take a proactive approach and forward plan meetings & travel
• Take minutes in key meetings, circulate and manage action points and deliverables
• Arrange roadshows, training or other meetings and events
• Assist with any project management as required
• Assist with on-boarding new team members and manage IT equipment
• Provide support to the wider team (25 ppl) such as booking occasional travel
• Work closely with the Team Administrator to manage the office and liaise with the facilities team
• Manage expenses
• Prepare board packs, committee meeting notes and prepare the CIO for these ahead of time
